We – Veterinärmedizinisches Dienstleistungszentrum (VetZ) GmbH – offer a wide range of products in all areas of animal health. This includes products such as our practice and image management software for veterinarians, digital X-ray systems, online shopping platforms, as well as web applications and apps for pet owners.

You – veterinarians, pet owners, organizations and companies, employees and job applicants – trust us and our products with your personal data every day. It is part of our corporate responsibility to use this data sparingly and transparently, and to protect it as far as possible. In this privacy policy, we explain when we collect personal data during interactions with you or through our products, and how we manage your data. Our privacy policy applies to all interactions between you and VetZ and to all services, websites, apps, software, and diagnostic devices provided by VetZ. When do we collect personal data?

We are committed to the principle of data minimization. This means that when we collect your personal data during your use of our products or websites, we only collect the personal data necessary for your use of our products, or the data you have consented to provide. Here are some examples of when we collect personal data:

  • When you visit our websites.
  • Your registration for our webinars, seminars, and other events.

Legal bases

If you give us your consent to process your personal data, Art. 6(1) (a) of the EU General Data Protection Regulation (GDPR) serves as the legal basis for this.

When processing personal data necessary for the performance of a contract to which you, as the data subject, are a party, Art. 6(1) (b) of the GDPR serves as the legal basis. This also applies to processing activities required for pre-contractual measures.

If the processing of personal data is necessary to fulfil a legal obligation of our company, the legal basis for this is Art. 6(1) (c) GDPR.

If such processing is necessary in order to protect your vital interests as the data subject or the vital interests of another natural person, the legal basis for this is Art. 6(1) (d) GDPR.

If such processing is necessary to protect a legitimate interest of our company or a third party, and the interests, fundamental rights, and freedoms of the data subject do not outweigh this interest, Art. 6(1) (f) of the GDPR serves as the legal basis for the processing. Our company’s legitimate interest lies in carrying out our business activities.

In the context of your application to us, we process your personal data primarily on the basis of § 26 BDSG (German Federal Data Protection Act). This allows for the processing of data in order to make hiring decisions. If the data is necessary – after conclusion of the application process – for the assertion of legal rights, data processing may take place on the basis of Art. 6 GDPR, especially for the exercise of legitimate interests in accordance with Art. 6(1) (f) GDPR. In this case, our legitimate interests lie in asserting or defending against claims.

If personal data of employees of VetZ GmbH is processed, the legal basis for this data processing is § 26 BDSG. If, in connection with the use of Microsoft Teams, personal data is not necessary for the establishment, performance or termination of the employment relationship, but is an elementary component of the use of Microsoft Teams, Art. 6(1) (f) GDPR is the legal basis for the data processing. In such cases, our interest is in the effective conduct of online meetings.

Otherwise, the legal basis for data processing in online meetings is Art. 6(1) (b) GDPR, to the extent that the meetings are held within the framework of contractual relationships. If no contractual relationship exists, the legal basis is Art. 6(1) (f) GDPR. Here again, our interest is in the effective conduct of online meetings. The legal basis for remote maintenance with TeamViewer is your consent in accordance with Art. 6(1) (a) GDPR. If personal data of employees of VetZ GmbH is processed, the legal basis for this data processing is § 26 BDSG.

How do we use personal data?

We use your personal data exclusively to provide a seamless user experience and to ensure that our products are both user-friendly and functional. We treat your data in a highly responsible manner.

We process your personal data for the following purposes:

  • To present offers, process orders, deliver and provide products, and to invoice you accordingly.
  • To inform you about new products and features, updates and upgrades, system extensions, special offers, and everything else relating to VetZ and our products.
  • To offer you the opportunity to create a personal user profile (for more information, go to vetsXL.com and petsXL.com) that you can use to access our quotations. Some of our products allow you to share information about yourself (including personal data) with other registered users of the same service and send emails, SMS, and other messages. You can use the functions of the respective offerings to determine which information you wish to pass on.
  • To give you a personalized user experience and show you protected content.
  • To ensure and check the quality of our information and customer support services.
  • To enable us to contact you, answer your questions, provide information about shipping and invoicing, and for feedback and support.
  • To prepare our employees for your questions about our company and our products.
  • To process job applications.
  • To prepare anonymized data about the use of our websites, products, and services. We use this data exclusively to improve our websites and other offerings.
  • To fulfil contractual obligations.
  • To comply with applicable official requirements.

If your personal data is used for direct advertising, you have the right to object at any time to the processing of your personal data for this kind of advertising. The same applies to profiling in connection with direct advertising.

If you object to the processing of your data for the purpose of direct advertising, your personal data will no longer be processed for such purposes. More information about opting out can also be found under “Your control options regarding your personal data and your rights”. We collect and process your personal application data exclusively for the purpose of filling vacant positions within our company.

When do we share your personal data?

We do not share your personal data with third parties for commercial purposes. A sale or lease of your personal data to third parties shall not occur. We share your personal data with business partners only when they are obliged to comply with our data protection standards. We share personal data with business partners inter alia in order to ship orders, marketing and advertising materials, process payments, announce the delivery of shipments and conduct credit checks, where applicable.

During the application procedure, your data is always and exclusively passed on to the internal offices and departments within our company which are responsible for the specific application process. We will not pass your personal application data on to third parties (our customers or other companies in any business mergers) without your express consent.

Personal data processed in connection with participation in online meetings is never passed on to third parties unless it is specifically intended for this purpose. Please note that content from online and also in-person meetings is often expressly intended for the purpose of sharing information with customers, interested parties, or third parties, and is therefore intended for this purpose. The provider of Microsoft Teams may also receive the above-mentioned data if necessary.

How do we protect your personal data?

We take the protection of your personal data very seriously. Accordingly, we have implemented a range of technical and organizational safeguards to protect your personal data.

Furthermore, we only process and store your personal data for as long as necessary to achieve the purpose for which the data was stored. Your data may be stored for longer periods where this is stipulated by European or national regulations, laws, or other legal provisions that apply to us.

We routinely block or delete personal data as soon as the purpose for its storage no longer applies or a storage period mandated by the above provisions expires. As a rule, your personal application data will be automatically deleted three months after the end of the application process and/or as soon as the job has been given to another candidate. This does not apply if legal requirements prohibit its deletion, if further storage is necessary for the provision of evidence for a maximum of six months, or if you expressly consent to a longer storage period. If we are unable to offer you a job at the time of your application, but your profile indicates that you could be suitable for future jobs, we will store your personal application data for twelve months if you expressly consent to such storage and use.

In order to protect your personal data, we implement access controls, firewalls, antivirus programs, SSL security mechanisms, and various data security and encryption procedures.

In principle, no data arising from participation in online meetings via Microsoft Teams is processed outside the European Union because we restrict our storage locations to data centers in the European Union. However, we cannot rule out the possibility that data is routed via internet servers outside the EU. This may be the case in particular when participants in online meetings are located in a third country. However, the data is encrypted and therefore protected from unauthorized access by third parties.

During remote maintenance, we process your personal data exclusively for the duration of the session. Your data is not stored or passed on to third parties. Users have the option at any time to block our access to their data during remote maintenance by closing TeamViewer.

Furthermore, we require our partners to observe the legal provisions on confidential handling of your data, and also to apply our own data protection standards.

Your control options regarding your personal data and your rights

If your personal data is processed, you are considered a data subject in the sense of the General Data Protection Regulation (GDPR), and you have the following rights with respect to us as the data controller:

We use cookies on our websites www.vetz.vet, www.vetsXL.com and www.petsXL.com. Cookies are data files which are stored on your computer system by your internet browser.

Cookies which are necessary for electronic communication, the provision of requested functions or the optimization of our websites are stored on the basis of Art. 6(1) (f) GDPR. As the website operator, we have a legitimate interest in storing cookies to ensure the technically flawless and optimized delivery of our services. If we have requested your consent to the storage of cookies, the corresponding cookies will be stored exclusively on the basis of this consent (Art. 6(1) (a) GDPR). You can withdraw your consent at any time by changing the settings on our website.

We register your IP address, your vetsXL ID, your petsXL ID, your browser type, the webpages you visited on VetZ, the icons you clicked on an individual VetZ webpage, the time you spent on a certain page, the referring website from which you accessed a VetZ webpage and the externally controlled website which you access from a VetZ website.

Cookies may be transmitted when a webpage is accessed, thereby allowing the user to be identified. Cookies help to make website browsing easier for the user. You can disable the installation of cookies at any time by changing the relevant setting in your internet browser. Installed cookies can be deleted. Please note that if you disable cookies, certain functions of our website cannot be used to their full extent.

You may object to the placement of cookies at any time by making suitable changes to the settings of your internet browser. Cookies which have already been placed can be deleted. Please note that disabling cookies may limit the functionality of some features on our webpages.
